Role Overview:

We are seeking a detail-oriented and proactive Bookkeeping and Administrative Virtual Assistant to support with basic financial management and client data processing.

Requirements:

We are seeking a detail-oriented and proactive Virtual Assistant to support with:

  • Bookkeeping: Basic financial management using Excel-based systems
  • Data Management & Entry: Processing client energy bills, identifying gaps/errors, and uploading data to official systems
  • AI Integration (optional): Exploring automation solutions for recurring admin tasks


Role and Responsibilities:

  • Maintaining basic bookkeeping functions in an organised, Excel-based format (fewer than 100 clients per year)
  • Managing data entry tasks including reviewing energy bill data and uploading finalised results to online platforms
  • Assisting Rodger in maintaining accurate data templates to support client reports
  • Exploring opportunities to automate repetitive tasks using AI or other suitable tech tools (optional)
  • Occasional outreach to clients via phone or email to clarify missing data
  • Weekly check-in calls with the client to stay aligned; most communication otherwise via email or WhatsApp


Skills and Requirements:

  • Proven bookkeeping experience - this will be a lead responsibility
  • Strong attention to detail and confidence in data entry and handling
  • Comfort with basic energy-related terminology (e.g., kWh, CO2)
  • Clear, professional communication skills for client outreach via phone and email

Preferred but not mandatory:

  • Experience working with AI or automation tools
  • Ability to explore and suggest solutions for process improvement


Working Hours: We are seeking a candidate to work 5–10 hours per week. The schedule is flexible with fixed check-ins at the beginning and end of each task cycle. Work in between can be completed at the VA’s preferred time.


Location: This is a remote position, offering the flexibility to work from anywhere in Ireland during business hours.
