Virtual Assistant (Administration and Bookkeeping)
Part-Time (5 hours per week, Remote – Ireland Based)
Business Overview
Our client is an internationally recognised keynote speaker, performance coach and author who helps organisations develop high-performing teams and leaders. Operating in a fast-paced environment, they balance client engagements, travel, workshops and business development.
We are seeking a highly organised Virtual Assistant to provide administrative and bookkeeping support and help keep day-to-day operations running smoothly.
Key Responsibilities
- Managing day-to-day bookkeeping and financial administration
- Recording and monitoring business expenses
- Preparing and organising documentation for VAT returns
- Maintaining accurate financial records and supporting documentation
- Reconciling receipts and invoices
- Identifying and following up on any missing financial paperwork
- Liaising with the business owner regarding outstanding financial items
- Supporting general administrative tasks relating to financial processes
- General office administration, including liaising and communicating with clients
What a Successful Week Looks Like
- Bookkeeping and financial administration are completed accurately and on time
- Business expenses, receipts and invoices are organised and up to date
- VAT documentation and financial records are prepared and maintained correctly
- Outstanding financial items are identified and followed up promptly
- Administrative tasks are completed efficiently, keeping day-to-day operations running smoothly
Skills and Requirements
- Previous bookkeeping or accounts administration experience
- Excellent attention to detail and accuracy
- Strong organisational and documentation skills
- Comfortable managing financial records and business expenses
- Understanding of VAT processes and financial administration
- Ability to work independently and manage recurring tasks
- The ability to use one's own initiative is essential
- High level of professionalism and confidentiality
- Be solutions-focused
- Strong Microsoft Excel and Microsoft Office skills
Preferred (Not Essential)
- Experience using bookkeeping or accounting software (e.g. Zoho)
- Experience supporting small businesses or owner-managed companies
- Familiarity with cloud-based document management systems
Working Hours & Location
- 1 hour per day (5 hours per week)
- Flexible working arrangement
- Fully remote role (Ireland-based candidates only)
