Virtual Assistant (Bookkeeping & Payroll Support)
Part-Time (4 hours per week, Remote – Ireland Based)
Business Overview
Our client is an award-winning theatre company creating internationally recognised productions touring across Europe, the UK, USA, Asia, and Australia. Working with a network of writers, performers, designers and technicians, they create ambitious and innovative work.
This role offers the opportunity to support a highly respected creative organisation with financial and operational administration.
Key Responsibilities
Bookkeeping & Financial Administration
- Manage all bookkeeping activities in QuickBooks
- Complete bank reconciliations and journal entries
- Maintain accurate financial records using account and class codes
- Update bookkeeping records in line with project and company budgets
- Identify and follow up on any missing invoices or paperwork
Payroll Administration
- Process monthly payroll for core staff members
- Manage weekly payroll during touring and production periods
- Make payroll-related payments accurately and on time
- Complete Revenue returns and pension adjustments
- Add and remove personnel from payroll as required during production cycles
Payment & Reporting Support
- Process fortnightly and weekly payruns using information provided via Google Sheets and shared folders
- Maintain organised financial records and supporting documentation
- Support accurate reporting for budgeting, cashflow management and quarterly board reporting
- Potential involvement in stakeholder and funder reporting over time
What a Successful Week Looks Like
- Payrolls processed accurately and on schedule
- Payruns completed with all payments correctly issued
- QuickBooks fully updated and reconciled
- Financial records clearly organised and up to date
- Missing invoices or paperwork identified promptly
- Clear communication maintained with the General Manager regarding queries or updates
Skills and Requirements
- Strong bookkeeping and payroll experience
- Proficiency in QuickBooks
- Excellent attention to detail and accuracy
- Ability to manage confidential financial information professionally
- Strong organisational and time management skills
- Comfortable working independently and following established processes
Preferred (Not Essential)
- Experience supporting arts organisations, charities, or project-based businesses
- Experience with stakeholder or funder reporting
- Familiarity with Google Workspace and shared cloud-based systems
Working Hours & Location
- Approximately 4 hours per week
- Hours primarily aligned with fortnightly payroll and payrun schedules
- Availability required on Mondays and Thursdays during payroll/payrun weeks
- Working hours to overlap with the General Manager’s schedule (9am – 5pm) during payroll periods
- Flexible working hours outside of payroll periods
- Fully remote role (Ireland-based candidates only)

- Has strong bookkeeping and payroll experience and takes pride in accuracy
- Is reliable, organised and comfortable managing recurring financial processes independently
- Communicates clearly and proactively
