Virtual Assistant (Client Support & Operations)
Part-Time (10 hours per week, Remote – Ireland Based)
Business Overview
Our client is a growing remote finance firm supporting scaling technology businesses in Ireland and abroad. They are seeking a dependable and organised Virtual Assistant to support client services, day-to-day operations, and administrative processes alongside their Customer Success Lead.
We are seeking a Client Support & Operations Virtual Assistant to support day-to-day client operations and administration. This role is ideal for someone who is organised, proactive, self-managing, and enjoys keeping things running smoothly.
Key Responsibilities
- Preparing and uploading client payments, ensuring payment schedules run on time
- Managing day-to-day administration across client platforms, including pensions and Stripe
- Monitoring and triaging the shared inbox, responding where appropriate and escalating when needed
- Conducting regular client check-ins and acting as a friendly, reliable point of contact
- Escalating complex queries and issues promptly to the Customer Success Lead
What a Successful Week Looks Like
- Client payments and routine administration are completed accurately and on time
- The shared inbox is organised, with queries resolved or escalated promptly
- Regular client check-ins are completed, building strong relationships and trust
- Client platforms and administrative tasks are kept up to date and running smoothly
- Priorities are managed independently, keeping client work moving without constant supervision
Skills and Requirements
- Highly organised, reliable, and proactive
- Ability to work independently and manage your own workload
- Excellent written and verbal communication skills
- Confident building professional client relationships
- Strong judgement and ability to escalate when needed
- Comfortable using and learning new business systems
- Previous experience in an administrative, PA, or client support role
- Suitable for an experienced Payroll Administrator looking to broaden their responsibilities
Preferred (Not Essential)
- Familiarity with accounting or finance platforms
- Experience using everyday business software and cloud-based systems
- Experience supporting payroll administration or payroll data checks
- Strong attention to detail when handling financial or payroll information
Working Hours & Location
- Minimum of 10 hours per week
- Opportunity to increase to 15-20 hours per week over time
- Fully remote role (Ireland-based candidates only)
